Meeting called to order at 9:00 a.m.
ATTENDEES: Denice McMahon, Elise Esper, Nancy Johnson, Robin Malik-Swisher, Ann

Absent: Jeff Goldenberg, Rick Siefert, Marge Olson, Marcia Aamodt (Advisor)
 | Conference Denice reported on the information from the evaluations regarding the
Annual Payroll Conference. It was well received by the participants. People enjoyed the
fact that we had some HR type sessions to attend and others did not see what we gained by
combining with IHRIM. Denice will be gathering a list of questions that were commonly
asked regarding the conference. We will put the answers on the Web site. We are looking at
having a conference every other year with IHRIM. Next year we will schedule the conference
October 12th and 13th and will celebrate National Payroll week
separately in September. If we have the conference downtown again we will look at
including the parking in the price of the conference. |
 | Novembers monthly meeting topic was changed to put together a panel to discuss Y2K
issues followed by a round table format by large, medium, small and government categories.
Jeff to check with Denice regarding the people that will facilitate this topic. Jeff will
also check with Patty Lake regarding her expenses for our October meeting. We should make
sure that we pay for her expenses. |
 | We spent time as a group talking about ways to get more of our membership coming to our
monthly meetings. We talked about having a free session on Saturday to recruit large
companies to our organization, or having an after hours session. |
 | We need to look into getting our membership database updated into an access data base
program. Robin will follow up with Gloria Hoffman on this. Marge Olson is our new
Membership Chair. Once this information is updated Marge will need to be trained to use
the system and take it over. Denice and Ann will also look into people who might want to
do this for us and get an estimate for the cost. |
 | Ann will look into getting a banner with our vision statement on it to show at our
monthly meetings. |
 | Robin will send out a list of volunteers to the board members. |
 | At our November meeting we will be recognizing those who passed the CPP exam. We have 12
people who passed in September and an additional 4 who passed this spring. We will
purchase a nice plant for those who passed the exam. We will also get a nice gift for the
facilitators. Elise will order a special plaque for Terry Maggett for his years of service
facilitating the CPP program over the years. We will also have an Angel Tree for our
December giving. Denice is coordinating this. We will be having about 75 Angels with gift
wishes from prisoners to give their children. On Monday, November 15th, we will
meet at Nancys Office to put together the Angels for the Thursday meeting. |
 | We will change our Membership fee to $50.00 effective February, 2000. We have researched
what other chapters are charging and this seems more appropriate. The monthly meeting fee
will stay the same at this time. |
 | We talked about purchasing a good camera for our organization for the information that
we need to send into the National Office. Denice to talk to Peter Matthias regarding
helping up purchase an automated 35mm camera for the chapter. |
 | Rick had completed the expenses for our Year- End. As of 7/31/99 we had a check book
balance of $29,087.96. Now that we have changed locations for our monthly meetings we are
no longer losing money each month. We are still waiting to get everything closed out for
the conference between IHRIM and us. At that point we will have a better idea how we came
out with the conference. Any money that we make goes towards our sponsoring educational
scholarships. |
 | Robin to check with Rick regarding ordering name tags for our board members. |
 | Ann looked into the cost for ordering shirts through her company for our chapter. If we
order 85 shirts we can get them for $9.95 each less her 15% discount with our logo on it.
It was decided that Ann would go ahead and order shirts with varied sizes for the Board
members and the rest we would use for volunteers and also have some available for other
uses. |
 | Jerry will check with the National APA on the government liaison position. What should
he be doing? Is this something that we would need a board position for? We need better
direction as a board on what this position is and should be. |
 | For the November meeting we will have a big food drive. We will have a drawing and those
members that bring a bad of food for the food drive they will get their name in a drawing.
The prize will be one of 3-$50.00 gift certificates. Nancy will have sign up slips at the
registration desk for those donating a bag of food. |
 | Nancy will order thank you cards with our logo on it and blank on the inside. We would
like to start sending out thank you cards to members when they volunteer to help our
organization. |
 | Review of our 5 year plan: |
 | Communication: Review new member letter to make sure it has updated information on it.
We will review this at our next meeting. Extend an invitation to our members that if they
are interested they can stay for our Board Meeting following our monthly member meetings. |
 | Education and Technology: We will check with Jeff to see how far out our meeting topics
are planned. Denice to work with Jeff on our year 2000 meeting topics. We need to develop
a contingency plan if we have a speaker that cancels at the last minute. What we have
scheduled for our meetings so far is December Record Retention, February
Change Management, March Round Table Discussion, April Basic Wage and Hour.
We will continue to have an icebreaker for table discussions at the beginning of the
meeting. Ann will put some together for our monthly meetings. |
 | Volunteering: We need to put together a committee together for volunteerism in our
organization. We did not have much participation in the Walk for Diabetes except for a
board member. Some areas we could volunteer in would be KTCA pledge drives Robin to
look into this and School involvement something on-going not just during National Payroll
Week. We will put together a committee to look into this. |
